Conforming Tubes and Sample Labeling Instructions

Sample Submission Guidelines

To support accurate sample accessioning, workflow tracking, and high-throughput assay processing, all submitted samples should follow the tube and labeling standards outlined below. These standardized workflows help minimize handling errors, improve traceability, maintain efficient turnaround times, and allow us to offer market-leading pricing.


Compatible Sample Tubes

Samples designated for analysis should be aliquoted into snap-cap microcentrifuge tubes with a capacity between 0.5 and 0.65 mL.

  • VWR Cat# 87003-290 (0.65 mL)
  • or equivalent

Examples of non-conforming submissions

  • Cryogenic tubes
  • 1.5 mL tubes
  • 96-well plates
  • Tubes sealed with parafilm

Non-conforming submissions require additional manual accessioning and quality-control handling and will incur an additional handling fee of $4/sample. Please indicate any non-conforming submissions during order placement to help avoid delays in processing.

If submitting samples in a 96-well plate

  1. Seal the plate using aluminum sealing tape (polyester sealing films are not recommended)
  2. Freeze the plate on a flat surface prior to shipment to reduce the risk of sample migration between wells in the event of seal failure
  3. Ensure wells are clearly documented/oriented within the accompanying sample manifest
  • Please do not parafilm-seal tubes, as parafilm interferes with standardized accessioning workflows
  • Avoid overfilling tubes, as caps may open during shipment or thawing 

To support rapid visual verification, rack imaging, and accurate sample tracking, all submitted tubes should follow a standardized top-labeling format.

Using a permanent marker, label the tube lids/caps alpha numerically (first letter of your last name followed by consecutive numbers).  For example, if your last name is “Smith” and you are sending three samples your tubes will be labeled:  S1, S2 and S3.  If you have sixty samples, the samples should be labelled S1-S60.

Please use a single letter prefix within each assay submission/sample type. Multiple prefixes, side-labeling, barcodes, or complex naming conventions require additional manual accessioning and handling and will incur an additional handling fee of $4/sample.

For optimal workflow compatibility

  • Label the TOPS of tubes only (not the sides)
  • Use permanent marker
  • Avoid adhesive labels/stickers where possible, as these may detach during frozen storage or shipment
  • Ensure labeling remains legible after freezing

Please maintain your own sample key linking tube IDs to sample identities. Proper sample documentation is essential for accurate sample tracking and downstream data interpretation.
